The Marvin Group is a Strategic Partner for Global Alternate Mission Equipment and Sustainment

The Marvin Group, a leading defense contractor, plays a crucial role in the development and manufacturing of various systems for military aerospace and vehicles. Based in Southern California near the Los Angeles International Airport, The Marvin Group consists of Marvin Engineering (MEC), Marvin Test Solutions (MTS) and Marvin Land Systems (MLS). Marvin Engineering designs and produces military Alternate Mission Equipment. Marvin Test Solutions designs and manufactures armament Test Equipment. Marvin Land Systems specializes in the design and build of power and thermal management systems. For over 60 years we have maintained “A Tradition of Excellence”, serving as a trusted source for our unwavering commitment to supporting all branches of the Department of Defense and our global allies. Our collaboration extends across a diverse array of programs and platforms, including major military prime contractors such as Lockheed Martin, Northrop Grumman, and Raytheon.

The Administrative Assistant will report to and provide direct on-site support to the Sr. Director of Programs. He or she will also assist Program Managers or other members of the Product Performance Team as necessary. A standard 8-hour business day applies (work hours are semi-flexible) Monday through Friday, but at a minimum, shall occur between the hours of 6:00am and 5:00pm. Some travel may be required throughout the course of the year.

Responsibilities

  • Create/Maintain Meeting Schedules and Invitations
  • Facilitate customer visits (visit request system, lunch scheduling, dinner reservations, etc.)
  • Compile data provided by Program Managers and create/update weekly/monthly reports provided to Department of Defense organizations
  • Compile data provided by Program Managers and create PowerPoint Presentations for Program Management Reviews and/or Customer presentations
  • Provide scheduling, data dissemination, and meeting minute transcription on behalf of/in coordination with the Sr. Director of Programs for the Director Leadership Team
  • Maintain clear and complete meeting notes, and then follow-up on key action items on behalf of the Sr. Director of Programs.
  • Act as the primary portal manager for the department’s risk and opportunity portal
  • Support the Sr. Director of Programs at domestic and/or foreign trade shows, air shows, or conferences
  • Generate reports for the Sr. Director of Programs, as required
  • Set-up Program Management Office organizational events and celebrations
  • Arrange travel
  • Answer phone, set-up meeting rooms and video conference reservations
  • Maintain and reorder department supplies
  • Create, maintain, and complete various forms, documents, and spreadsheets
  • Maintain a positive and pleasant customer service environment

Skills / Requirements

  • High school diploma minimum. Prefer A.A., A.S., B.A., or B.S. college degree
  • Excellent spelling and grammar (English), articulate and concise, and able to emulate the typical style and content of the Sr. Director of Programs in written communications.
  • Appropriate use of email for executive level communications
  • Excellent communication skills, audience appropriate, especially when executive
  • Common-sense scheduling and calendar maintenance
  • Strong attention to detail, creative, robust problem-solving skills, organized, proactive, able to effectively prioritize
  • Customer service mind-set, helpful, and pleasant upbeat can-do personality
  • Professional demeanor and positive attitude
  • Familiarity with aerospace, defense, and manufacturing terminology is a plus
  • MRP experience (SAP preferred) is a plus
  • Reliable, trustworthy, and available when needed
  • Acts with discretion & confidentiality

Work Environment

  • Medium-to-large fast paced office environment
  • The noise level in the work environment is usually minor to moderate
  • Exposed to a combination of normal office type environments

Salary Range

Base Salary Range (Inglewood only): $68,640 - $ 77,040
