General

The Billing/Accounts Receivable Specialist is responsible for the billing activities for clients from initial intake through final bill production. The position involves working collaboratively with clients, employees, management and partners of the firm. Using prior experience, training and education, the ideal candidate will demonstrate effective communication. In addition, work directly with the Chief Operating Officer and other Rushton team members to resolve challenges and improve internal processes.

PRIMARY DUTIES AND RESPONSIBILITIES

Set up new clients in the project management/billing software.

Set up new projects and engagements for clients.

Maintain client data in software.

Monitor staff time entry in software to ensure entered timely and accurately.

Manage and complete invoicing process of clients in accordance with company procedures.

Prepare client statements.

Verify payments to client accounts.

Investigate and resolve billing discrepancies.

Communicate with clients about billing discrepancies and questions

Initiate collections on past-due accounts.

Communicate with management, partners and staff concerning time entry and client billing.

Meet with management and partners monthly concerning outstanding accounts receivable.

Provide reporting as requested by management

Other general accounting and administrative responsibilities as needed.


EDUCATION AND GENERAL SKILL REQUIREMENTS

High School Diploma required, Bachelors degree in accounting or related field strongly preferred

Minimum 3 years experience in billing and/or accounts receivable

Familiarity with accounting software programs

Advanced mathematical and logical deduction skills.

Experience with customer service and client communication

Effective time management skills

Excellent communication and problem-solving skills.

Ability to consistently follow through and take ownership of projects

Ability to handle multiple projects or tasks while effectively prioritizing to meet deadlines

Strong interpersonal skills and attention to detail are essential

Customer-focused and service-oriented with ability to work independently

Exercise good judgment and discretion, analyzing and resolving confidential, difficult, and sensitive situations; ability to anticipate, to take initiative, and to resolve issues

Expert level experience with Outlook Mail, Outlook Calendar, Internet, and mastery of MS Office Suite: Excel, PowerPoint, Word as well as knowledge of Adobe.

Independent thinking and sound judgment

WORKING CONDITIONS
Equipment used: computer, telephone, copier and scanner.
Attends and participates in continuing educational programs designed to keep abreast of changes in the profession.
Business hours Monday through Friday, 8:00 am-5:00 pm. May be subject to work beyond normal working hours and on weekends and holidays when necessary.
Essential demands include sitting at a desk, working on a computer for long periods of time and using a telephone to communicate with internal and external clients and the general public.
