Concierge Position Summary: Positioned front and center, the Concierge is often the first impression people have of the community. A positive outlook and the ability to remain composed while handling multiple tasks is essential.
Primary Duties and Responsibilities included but not limited to: •Answers the main phone in a courteous and professional manner. •Transfers calls to appropriate persons/departments.
•Take accurate messages.
•Greats visitors in a professional and friendly manner.
•Responsible for monitoring Resident and Visitor sign-in and out log. •Keeps front desk and lobby clean and neat.
•Assists Residents as needed.
•Performs supportive office functions for all departments including filing, typing, making copies, organizing, data entry, envelope stuffing, addressing, and or stamping.
•Communities with outside professionals.
•Performs all other duties assigned.
•Responsible for keeping Resident information confidential; Respecting Residents rights; respecting privacy.
•Receives mail and packages and ensures they are distributed accurately and timely. •Notifies Executive Director when items need to be ordered, received, and maintained office supplies.
•Assist with activities/events as assigned.
•Keeps Executive Director informed of any problems that may arise. •Attend mandatory meetings as scheduled.
Physical Requirements: Must be able to remain in a stationary position at least 50% of the time. Constantly operates a computer with extensive keyboard typing, and routinely uses other office machinery such as a telephone and printer/copier/scanner. Occasionally moves around inside the office to access files or office machinery, attend meetings, etc. Occasionally required to bend or twist to reach items and lift and/or carry items weighing up to 50 lbs. The person in this role frequently communicates with others to exchange information in person, over the phone, and via email, and must be capable of effective communication in these situations.
Qualifications/Education/Training: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed above are representative of the knowledge, skill, and/or ability required.
Education/Experience: Must have a high school diploma or equivalent, plus three years of front office experience, or equivalent combination of education and experience.
Certifications and Licenses: No certifications or licenses are required.
Communication Skills: Receive and carry out verbal and written instruction. Communicate effectively in person, over the phone, or via email with one to a few customers or co workers. Write and proofread routine correspondence and reports with appropriate grammar and spelling.
Organization/Self-Management Skills: Perform repetitive work according to set procedures, with frequent distractions and interruptions. Must be able to recognize a problem and identify when it should be escalated to an appropriate team member.
Computer Skills: Proficiency with computers
Line of Authority: The Concierge reports directly to the Executive Director. The Haven at San Gabriel
